Trader Management Software: How to Vet, Contract and Track Every Trader Without the Admin

If Eventbrite sells tickets, eBay creates competitive pricing, and Airbnb monetises unused inventory. Swallow ETOS does all three for the trading economy behind live events.

Swallow Events provides the world’s first Event Trading Operating System, powered by fixed price bookings, live auctions and competitive tenders. ETOS gives event organisers a more disciplined way to source, assess, award, contract and manage catering traders, retail stand operators and exhibitors without relying on disconnected spreadsheets, email threads or filing cabinets.

1. How trader management software reduces administrative burden

Trader management often begins with a simple enquiry and quickly becomes a dense network of attachments, conversations, payment requests, compliance checks and last minute amendments.

One trader or exhibitor may send an application by email, insurance documents through a separate link, a revised menu in a spreadsheet and a payment confirmation as a screenshot. Another applicant may be approved in a meeting but never receive a formal contract. A third applicant may arrive on site with incomplete health and safety information because nobody had a clear view of what remained outstanding for that trader or exhibitor.

This fragmented approach creates unnecessary risk and consumes valuable time. It also makes it difficult to answer basic commercial questions about traders and exhibitors.

Who has applied?

Which traders and exhibitors have been approved?

What pitch has each trader or exhibitor secured?

Has the contract been accepted?

Has the invoice been paid?

Is the unit ready for arrival?

Can the pitch revenue be reconciled after the event?

A robust trader management software solution should answer these questions from one connected record. More importantly, it should preserve the relationship between the trader or exhibitor, the event, the specific unit, the pitch, the contract, the payment and the operational requirements.

2. Source the right traders before the application stage

High quality event trading begins with a carefully curated supply of suitable traders and exhibitors. The objective is not simply to fill available pitches. It is to create a balanced commercial and sensory experience, with the right combination of catering, retail, service quality, presentation and audience relevance.

Swallow connects organisers with a network of more than 8,000 traders and exhibitors, including more than 5,000 catering traders and more than 3,000 retail trade stand operators and exhibitors. This gives organisers access to a broader pool of potential partners, whether they are planning a local food market, agricultural show, sporting event, concert or major festival. New event opportunities are promoted to that network at no additional cost, and organisers can also bring their own existing traders and exhibitors.

ETOS helps organisers structure the opportunity before applications arrive. You can define the event, pitch type, trading category, location, space requirements and commercial expectations, giving traders and exhibitors a clearer brief and making applications easier to assess consistently. This is where automated trader management becomes commercially valuable. Instead of searching through old inboxes and manually copying information into a master spreadsheet, organisers can establish a repeatable route from sourcing to selection.

3. Vet applications against exacting standards

An application from a trader or exhibitor should provide more than a business name and a preferred date. It should help the organiser understand exactly what the applicant intends to bring to the event and whether the operation is suitable for the opportunity.

Depending on the event, that may include:

  1. Business information and trading history

  2. Unit details, footprint and equipment requirements

  3. Menus, products or retail ranges

  4. Public Liability Insurance

  5. Food hygiene information

  6. Risk assessments and health and safety documentation

  7. Power, water, waste and access requirements

  8. Relevant licences, certificates or EHO information

A structured application process gives every trader or exhibitor a consistent route to provide this information. It also gives the organiser a more meticulous basis for comparison, particularly when several traders and exhibitors are competing for the same pitch.

Event vendor management software should make outstanding information visible rather than leaving the organiser to remember which documents were promised in a conversation three weeks earlier. ETOS keeps trader and exhibitor information and supporting documentation available for review, helping organisers identify missing or expired records before a pitch is awarded.

This does not replace the organiser’s responsibilities, venue requirements or EHO review. It creates a clearer operational record so that those responsibilities can be managed with greater confidence.

4. Award pitches and preserve the commercial decision

Selecting a trader or exhibitor is only one part of the decision. The organiser must also record precisely what has been awarded.

A pitch award may include the event date, location, pitch type, unit size, trading category, access arrangements, pitch fee and any additional requirements. If these details are scattered across several messages, misunderstandings become almost inevitable.

A connected trader booking system should preserve the commercial decision in a form that can be reviewed by operations, finance and senior management. It should make the awarded opportunity clear to both parties and provide a dependable foundation for the contract.

ETOS supports fixed price bookings, live auctions and competitive tenders, allowing organisers to choose the most suitable route for each opportunity. A premium pitch may be offered through a live auction, while a carefully defined catering opportunity may be awarded through a competitive tender. Other spaces may be offered at a fixed price when speed and simplicity are paramount.

The mechanism may differ, but the outcome should remain precise. The selected trader or exhibitor, pitch, commercial terms and required next steps should be connected from the moment of award.

5. Move seamlessly from approval to contract and payment

Approval should not create another administrative project. Once a trader or exhibitor has secured a pitch, the contract, invoice and payment journey should follow naturally.

A professionally managed agreement should confirm the event, pitch, trading activity, fee, payment terms, responsibilities, access requirements and relevant health and safety expectations. It should be clear what the trader or exhibitor has accepted and what the organiser expects before event delivery.

You can read more about this connected process in Swallow’s guide to trader bookings, contracts and payments.

ETOS keeps the booking record connected to contract and payment information, giving organisers better visibility of approved, contracted, invoiced and paid traders and exhibitors. This distinction matters. An approved trader or exhibitor is not necessarily contracted, and a contracted applicant is not necessarily financially complete.

The one-click approval process closes much of that gap at source. By the time an application reaches you, the trader or exhibitor has already submitted all mandatory health and safety documentation, and their payment has already been securely pre-authorised through Stripe. All you have to do is review the application and click Approve (or Reject). That's it! ETOS confirms the booking and captures the pre-authorised payment directly into your connected Stripe account when you approve, or automatically releases the pre-authorisation if you reject.

Contracts, compliance, staged payments and trader communications are all handled automatically, with all relevant emails, confirmations and documentation sent simultaneously the moment you click 'Approve'. No chasing paperwork, invoices or payments. Your review remains the final compliance check, so the decision stays firmly in your hands while the administration around it simply falls away.

When every stage is visible, finance teams can monitor pitch revenue more accurately, while operations teams can focus attention on the traders and exhibitors who still require action.

6. The six step trader journey in ETOS

ETOS is designed around a straightforward six step trader journey that supports both the trader and exhibitor experience and the organiser’s operational oversight.

1. Shop Front setup

The trader or exhibitor creates a reusable Shop Front containing business information, units, menus, products, pricing and supporting documentation. This reduces repeated requests and gives organisers a richer view of the business.

2. Apply for events

The trader or exhibitor reviews suitable opportunities and submits an application against a specific event, pitch and trading requirement. If you want a deeper look at applying for events, this journey is covered in more detail there. The organiser receives information in a more consistent format.

3. Organiser awards the pitch

The organiser reviews applications and awards the pitch through the appropriate route, whether fixed price booking, live auction or competitive tender.

4. Approval and contract

The selected trader or exhibitor receives the relevant commercial terms and contract requirements. By this point the trader or exhibitor has already submitted the mandatory documentation and pre-authorised payment, so the organiser’s approval is the decision that confirms the booking, issues the contract and captures payment in one action.

5. Dashboard management

The trader or exhibitor manages bookings, documents, payments and event information through a central dashboard. The organiser retains visibility across applications, awards, contracts and outstanding actions.

6. Readiness visibility

Before the event opens, the organiser can review whether each trader or exhibitor is ready, whether documentation is complete, whether payments have been made and whether practical requirements have been addressed.

This journey turns trader management from a sequence of disconnected administrative tasks into a coherent commercial process.

7. Prepare for on site delivery and post event reconciliation

The true test of event management software is not whether it records an application from a trader or exhibitor. It is whether the information remains useful when the event is about to open.

On site readiness may include arrival windows, vehicle access, pitch boundaries, power requirements, waste arrangements, staff numbers, unit details and final compliance confirmation. These details should be visible to the people responsible for event delivery, not hidden in an inbox owned by one busy team member.

A clear readiness view helps organisers identify the difference between a trader or exhibitor who is fully prepared and one who still requires an updated document, payment or operational instruction. It also gives the event team a more reliable record when traders and exhibitors arrive and pitches are checked.

After the event, the same connected information can support reconciliation. Organisers can review awarded pitches, invoices, payments from traders and exhibitors, refunds where applicable, attendance and outstanding balances without rebuilding the event record from separate sources.

Practical Pre Application Checklist

Before opening applications for a festival, organisers should confirm the following:

  1. Define every pitch type, location and available footprint.

  2. Confirm the trading categories required for a balanced event experience.

  3. Set the commercial terms, including pitch fees, deposits and payment deadlines.

  4. List the insurance, food safety, health and safety and EHO information required.

  5. Confirm access, power, water, waste and arrival requirements.

  6. Prepare clear application questions for each trader category.

  7. Decide which opportunities will use fixed price bookings, live auctions or competitive tenders.

  8. Establish the approval criteria and the person responsible for final decisions.

  9. Set a deadline for applications, document submission and contract acceptance.

  10. Decide how readiness and post event reconciliation will be reviewed.

A meticulous pre application process makes the subsequent trader journey faster, more transparent and easier to manage for organisers, traders and exhibitors alike.

Transparent pricing for organisers and traders

ETOS is free for organisers to use with £0 setup fees, £0 subscriptions and £0 commissions. Organisers retain 100% of their pitch and ticketing revenue, receive payments directly and can even profit from processing fees, so they are effectively getting paid to use the platform.

ETOS is also free for traders and exhibitors to join and list. Buyer fees apply only when a pitch is secured. For trader bookings, buyers pay an applicable percentage starting from as little as 7.5%, together with a very small admin fee and a very small processing fee.

Ticketing is a separate bolt on feature.

This commercial structure gives organisers the opportunity to improve their operations with traders and exhibitors without adding subscription costs or commissions to the pitch revenue they generate. Replace administrative uncertainty with operational clarity

The right trader management software should do more than store contact details. It should support the full lifecycle from sourcing and application through to award, contract, compliance, invoicing, on site readiness and post event reconciliation.

That is the value of ETOS. It gives organisers a more connected way to manage every pitch, every trader and exhibitor and every commercial obligation while preserving the creative quality of the event itself.
